Refunds & Cancellation Policy
This policy explains how UCP of Mobile handles refunds, cancellations, credits, substitutions, and related requests for donations, recurring gifts, fundraising campaigns, event registrations, sponsorships, marketing opportunities, and other development-related transactions. This policy is intended to set clear expectations for donors, sponsors, registrants, vendors, partners and supporters.
This statement applies to transactions made through our website, donation pages, event registration systems, fundraising campaigns, sponsorship agreements, marketing placements, mailed forms, phone payments, and other approved payment channels.
Scope of Policy
Examples of covered transactions may include one-time donations, recurring donations, memorial or tribute gifts, peer-to-peer fundraising gifts, ticketed events, training sessions, workshops, conferences, sponsorship packages, advertising or recognition opportunities, auction items, merchandise, and other fundraising or development activities.
Donation Refunds
Donations are generally considered charitable contributions and are typically non-refundable. However, we may consider refund requests when a donor made an error, such as entering the wrong amount, selecting the wrong fund or campaign, making a duplicate gift, or submitting a donation unintentionally. Refund requests should be submitted as soon as possible and must include enough information for us to identify the transaction.
Recurring Gift Cancellations
Donors may cancel or modify a recurring gift by contacting us at development@ucpmobile.org or by using the donor portal or payment platform, if available. To prevent the next scheduled charge, cancellation requests should be received at least 15 business days before the next processing date. Requests received after a payment has already been processed may apply to future payments only, unless a refund is approved under this policy.
If a recurring donation is cancelled, we may retain records of past donations for acknowledgment, tax, accounting, audit, and compliance purposes.
Event Registration Cancellations
Event registration fees may be refundable, partially refundable, transferable, or non-refundable depending on the event type, timing of the request, venue commitments, materials ordered, catering deadlines, and other costs incurred by the organization. Unless a specific event page or registration form states otherwise, refund requests received at least 10 days before the event may be eligible for a refund or credit, while requests received after that deadline may be ineligible.
No-Shows and Event Cancellations
No-shows and late cancellations may not be eligible for refunds, credits, or transfers. This helps the organization cover fixed costs, including planning, marketing, staff time, supplies, meals, technology, venue commitments, speaker fees, and other expenses incurred before the event or activity.
At our discretion, we may allow a registrant to transfer their registration to another eligible participant or apply a credit to a future event when sufficient notice is provided and the event terms allow it.
Sponsorship, Advertising and Marketing Commitments
Sponsorships, advertising placements, exhibit tables, program listings, logo recognition, and other marketing or development commitments may involve planning, design, production, printing, digital placement, and promotional costs. These commitments are generally non-refundable once benefits have begun, materials have been produced, deadlines have passed, or the organization has relied on the commitment in planning or promotion.
Merchandise, Auction Items and Fundraising Products
Sales of merchandise, auction items, raffle-related items where permitted by law, or other fundraising products may be final unless the item is defective, unavailable, materially different from its description, or otherwise eligible for a refund under the applicable purchase terms. Shipping, handling, processing fees, and third-party platform fees may be non-refundable unless required by law.
Organization Cancellations or Rescheduling
We reserve the right to cancel, postpone, reschedule, relocate, or modify an event, campaign, program, or marketing opportunity due to low registration, weather, emergencies, venue issues, speaker availability, health and safety concerns, technical problems, or other circumstances beyond our reasonable control. If we cancel an event or activity and do not offer a substantially similar alternative, we may offer a refund, credit, transfer, or other remedy appropriate to the circumstances.
Refund Request Process
To request a refund, cancellation, credit, transfer, or correction, contact us at development@ucpmobile.org or (251) 479-4900. Please include your name, contact information, transaction date, amount, payment method, event or campaign name, order or confirmation number if available, and the reason for the request. We may ask for additional information to verify the transaction and protect donor and organizational records.
Processing Timeline and Method
Approved refunds will generally be issued to the original payment method when practical. Processing times may vary depending on the payment processor, financial institution, accounting review, and transaction type. If the original payment method is unavailable, we may issue an alternative form of refund or credit at our discretion and in accordance with applicable law.
Tax Receipts and Gift Acknowledgements
If a charitable contribution is refunded, any related tax receipt, gift acknowledgment, donor recognition, or contribution record may be corrected or voided as appropriate. Donors are responsible for consulting their own tax advisors regarding the treatment of donations, refunds, benefits received, and charitable deductions.
Chargebacks and Payment Disputes
We encourage donors, registrants, sponsors, and purchasers to contact us directly before initiating a payment dispute or chargeback so we can review the transaction and attempt to resolve the issue. Unauthorized chargebacks may delay resolution, increase administrative costs, and affect eligibility for future registrations, sponsorships, or participation.
Changes to This Policy
We may update this policy from time to time. The “Last updated” date above reflects the most recent revision. The policy in effect at the time of a transaction or registration will generally apply unless a specific written agreement, event notice, or campaign term states otherwise.
